Volunteer Info
Our swim team is maintained and operated by a paid coaching staff, a volunteer Parent Advisory Board, club management and many, many great volunteers. The volunteers play a hugely important role. Did you know that it can take as many as 50 volunteers to host a single Dual Meet? Finding and organizing this many helpful souls is no easy feat and without everyone's help we simply couldn't host meets or function as a team. As a result, we have a volunteer requirement in place that each family must satisfy.
At least one parent from each swimming family must volunteer at four or more Dual Meets during the summer season as well as at least once at Championships or Prelims if participating in those events. Parents unable to satisfy a particular assignment must find a suitable replacement prior to the day of the event. Members of the Parent Advisory Board, known as Volunteer Coordinators, will manage the volunteer schedule.
Opportunities abound to help everyone meet this expectation. Volunteer positions include: race announcer, timers, scorer, starter, meet referee, ribbons person, results keeper, runners, stroke and turn judges, grill master and concession stand helpers. A description of each position is located in the Appendix section. Please do your part! We are trying to avoid a deposit (fee) based system, as some other teams use, in effort to manage our volunteer commitment.
Parents can signup for volunteer positions at the Parent Meeting. We have several Volunteer Coordinators ready and able to assist you with your volunteering duties (Wendy Holden, Lisa Clawson and Debbie Nussbaum). They will be available at the Parent Meeting and at each dual meet to help organize and answer questions.
Volunteer Job Descriptions
(Volunteers should arrive 15 minutes prior to the start of meets)
| Announcer | Announces events for swim meet (trained position) |
|
Timer | Time swimmers during events. Begin timing with start of timing system (starting gun and/or flash) and stop timing when any part of the swimmer touches the wall after completing the assigned distance. Match the name of the swimmer with the name on the time card. Raise your hand if you miss the start so a back-up timer can replace you. We need 24 Timers for home meets and 12 timers for away meets. There are three timers in each swim lane (2 from home team and 1 from visiting team) |
| Back-up Timer | Back-up the Timers anytime they miss a start |
| Concessions Helper | Help prepare and sell food sold at our concessions stand. Note: Concessions sold at home meets provide a major source of funding for our team's equipment upgrades (e.g. new starting blocks). |
| Grill Master | Start grill, set-up grill area (with utensils, warming pans, meat coolers, etc.). Shift 1 starts about 45 minutes before meet and runs through event #34. Shift 2 starts at the end of event #34 and includes clean-up of grill and grill area following the meet. Note: Do not cook any additional food after event #50 to #52. |
| Ribbon Person | Put labels on swimmer's ribbons and sort them for each team |
| Computer/Results Keeper | Keep a running score of the meet. Enter results into a computer and print results (computer tabulates scores; trained position) |
| Runner | Collect time cards from each lane after each event and deliver them to the Officials' table |
| Starter/Meet Referee | Start and referee meets (trained position) |
| Stroke and Turn Judges | Judge whether swimmers use proper (legal) stoke and turn technique for each event in a meet according to League rules (trained position) |
